WHY THESE FILES EXIST

Reduce ambiguity before samples move

Remote production usually involves three different records: what the buyer needs, what the supplier can physically send and what the studio has agreed to photograph. These templates keep those records connected without treating an early planning document as a booking or contract.

Download clean copies, keep a dated working version for each project and confirm the final scope and sample arrangements in writing with the relevant parties.

01TXT

Textile photography brief

A seven-part brief covering contacts, products, shot tasks, visual direction, delivery, sample handover and open quotation questions.

When to use it

Use it before requesting a quote or asking a supplier to release samples. It gives every party one current record of what is known and what is still open.

How to fill it

  1. Replace every bracketed field and repeat the product and shot-list rows as needed.
  2. Name the brief owner, current version, approval contacts and target image-use date.
  3. Keep undecided items visible so alternatives can be quoted or agreed separately.
02CSV

Textile sample inventory

A shared sample register for buyer SKUs, supplier references, colors, sizes, included pieces, requested views, sample location and return arrangements.

When to use it

Use it while samples are still with the factory or supplier. One consistent row helps the buyer, dispatch contact and studio identify the same physical item.

How to fill it

  1. Delete the illustrative example and create one row for every distinct SKU and color or specification that must be tracked.
  2. Use the supplier's physical label reference as well as the buyer-facing SKU.
  3. Update receiving and return fields only after those arrangements have been agreed.
03CSV

Bedding photography quote worksheet

A scope-normalization worksheet for comparing two studio responses across products, views, files, resources, review stages, samples and commercial terms.

When to use it

Use it after your requirements are stable enough for studios to respond to the same questions. Compare the included work and open assumptions before comparing totals.

How to fill it

  1. Write the buyer requirement first; do not start with the studio price.
  2. Copy each studio response into its own column without combining different scopes.
  3. Move exclusions, unclear quantities and unconfirmed responsibilities into open questions.
04CSV

Textile launch asset matrix

A SKU-to-channel matrix for photography, Amazon or Shopify content, catalog assets, product video and managed AI variations, with evidence and release owners.

When to use it

Use it when one launch needs several channels or production methods. Give every requested asset one placement, purpose, source method and approval status instead of treating a long image count as the scope.

How to fill it

  1. Replace the clearly marked example row and add one row for each SKU, placement and asset task.
  2. Name the production method only after product-accuracy requirements and available source material are understood.
  3. Keep the product-fact source, visual-review owner and customer-facing release owner/status separate.
A PRACTICAL HANDOFF SEQUENCE

Use the templates as one controlled record

  1. 01

    Create one controlled version

Give the brief and inventory a project reference, owner and issue date. Mark replaced versions as superseded instead of circulating competing files.

  2. 02

    Confirm product facts at source

Ask the supplier to check physical labels, components, color references, sizes, quantities, sample condition and the expected ready date.

  3. 03

    Turn image needs into tasks

Connect each requested view to a SKU, placement, crop, channel and buyer question. Keep essential and optional tasks distinct.

  4. 04

    Agree the handoff in writing

Before dispatch, confirm receiving details, scope, review points, delivery files, sample return, freight and the terms that belong in the quotation or agreement.

RESPONSIBILITY MAP

Who should confirm each part?

A template can expose missing information. It cannot transfer a party's responsibility or replace written acceptance of the project terms.
